AI Is Great But You're Probably Using It Wrong

4 min read

A comically shocked businessman in a suit grips the steering wheel of a car stripped down to just its engine, pipes and wheels, parked under a glowing Broadway-style marquee reading "AI Will Save You Money".

60% quality AI output.

1. Productivity: AI Is Great But You’re Probably Using It Wrong

AI tools are absolutely transformative for productivity — but only if you use them properly.

I see too many people treat AI like a magic wand. They throw vague bundles of words at ChatGPT, get mediocre responses, then complain that “AI doesn’t work for my use case.”

The problem isn’t the AI. It’s how you’re using it.

Think of AI as an incredibly capable assistant who needs clear instructions. You wouldn’t tell your assistant “do some stuff with that thing” and expect good results. Same with AI:

When I use Claude or ChatGPT for work, I spend time crafting the prompt properly. I tell it my role, the context, what I need, and how I want it formatted.

The difference between a good AI output and a great one is usually just 60 seconds of prompt “engineering”.

Don’t know how? My The Complete Claude, Claude Code & AI for Work Productivity course walks through specific use cases and prompts you can use today.

2. Ops: The AI Quality Squeeze

Here’s the uncomfortable truth about AI in business right now.

Everyone’s heard the promise: use AI to cut costs whilst maintaining output quality.

But what’s actually happening?

Clients expect lower prices because “you’re using AI”. You don’t offer them. They then turn to AI tools, which deliver only about 60% of the quality of a service provider.

This is the squeeze.

You’re caught between clients who want cheaper prices (because AI exists) and AI SaaS tools that are now your direct competition. The tools deliver mediocre results, but they’re cheap enough that price-sensitive clients will try them first.

If you respond by cutting your prices and quality to compete, you’ve already lost. You become the expensive version of a cheap tool.

The only winning move?

Maintain quality and prove why human expertise + AI beats AI alone.

Use AI to enhance your service, not replace your judgement. Be transparent about where AI fits in your process. Invest cost savings into better outcomes for clients, not just margin.

3. Tech: Sonnet 4.5 Is All You Need (If You Don’t Code)

If you hop on any of the AI subreddits, you’ll see post after post after post of people complaining about AI model quality, hitting their usage limits after 3 straight hours of AI usage (just what are they doing for 3 straight hours?!) and how they’re going to rage-quit XYZ model in lieu of ABC model.

Well… I’ve been testing Claude’s new Sonnet 4.5 model extensively since its release.

My finding? For non-code tasks, it’s just as good as Opus 4.1 was.

This is significant, because Opus was previously the go-to for complex reasoning, strategic thinking, and nuanced writing tasks. But Opus is slower and uses up tokens faster.

Sonnet 4.5 gives you near-identical quality and you won’t burn through your limits, especially if you’re on Claude Pro or Max.

It has become my default for research, writing, content editing, traversing across files and more. The only time I still reach for Opus is in my personal coach Claude project with extended thinking turned on because, you know, I really want Claude to roast my productivity.

4. Courses

I have a range of online courses that teach business people what they need to know about productivity and AI:

2. The AI Agents, Automations and Agentic Workflows Guide
This non-technical course shows business people and non-coders how they can build and use AI agents in ChatGPT and Zapier.

3. The Complete Claude, Claude Code & AI for Work Productivity
A comprehensive course taking you from beginner AI concepts like prompt and context engineering, to cutting-edge AI productivity using terminal-based AI tools like Claude Code for non-coding office work. Usable with ChatGPT, Claude, Gemini and other current LLMs.

4. The AI Playbook

That’s it for this week!

Hero Mode Hours

Every productivity system you've tried worked for about a week.

That is not your fault. Rigid systems break because they assume every hour is interchangeable. You do not have a time problem. You have an energy problem.

Hero Mode Hours is a short guide to finding the one or two windows each day when your brain is genuinely sharp — and putting your hardest work there instead of wherever the calendar has a gap.
