Why Hire When You Can Build an AI Workflow?

3 min read

An empty open-plan office at dusk with rows of vacant chairs and a single glowing laptop running code and dashboards on a long central desk, a city skyline visible through floor-to-ceiling windows.

You can’t have staff problems if you have no staff.

1. Productivity: MacOS Tahoe’s Secret Weapon

MacOS Tahoe comes with something most people have completely missed: a built-in Clock app.

And it’s brilliant for timeslicing.

The new Clock app gives you a clean, simple timer that sits right in your menu bar. No third-party apps and no subscriptions.

Set it for 37 minutes and start the timer. When it goes off, start one for an 8 minute break and then get back to it.

2. Ops: AI Workflows Are Replacing Staff

It’s here.

Business owners are quietly building AI workflows instead of hiring people. And honestly, can you blame them?

No sick days. No HR issues. No salary negotiations. No training that takes months.

A well-built AI workflow runs 24/7, costs a fraction of an employee, and scales instantly.

I’m seeing this across industries:

Companies are starting to change their process from “who do we hire?” to “which AI agent do we deploy next?“.

3. Tech: Where to Build AI Workflows

Right, so you’re convinced. You want to build AI workflows instead of hiring.

But where do you actually build them?

Here are your options:

Zapier — The easiest entry point. No-code, visual workflow builder. Start here if you’re not technical. Grab my course The AI Agents, Automations and Agentic Workflows Guide for how to set up AI agents in Zapier.

N8N — Open-source alternative with more flexibility. Self-hosted is the way. Better for complex workflows.

Claude Code or Codex — For when you need a human operator-driven AI workflow that’s extremely flexible. I cover this in The Complete Claude, Claude Code & AI for Work Productivity.

For most business owners, I would start with Zapier.

4. Courses

I have a range of online courses that teach business people what they need to know about productivity and AI:

1. Next Level Productivity
A practical, straightforward course that teaches you how to achieve elite-level personal productivity in today’s constantly interrupted world.

2. The AI Agents, Automations and Agentic Workflows Guide
This non-technical course shows business people and non-coders how they can build and use AI agents in ChatGPT and Zapier.

3. The Complete Claude, Claude Code & AI for Work Productivity
A comprehensive course taking you from beginner AI concepts like prompt and context engineering, to cutting-edge AI productivity using terminal-based AI tools like Claude Code for non-coding office work. Usable with ChatGPT, Claude, Gemini and other current LLMs.

4. The AI Playbook
This is my longer premium course on how businesses can deploy AI tools and technology across their processes and teams.

5. ChatGPT for Managers
See how AI can solve complex management challenges in less than 30 seconds. Full prompt library and examples included.

That’s it for this week!

Every productivity system you've tried worked for about a week.

That is not your fault. Rigid systems break because they assume every hour is interchangeable. You do not have a time problem. You have an energy problem.
