Asana VIP Days for Coaches, Consultants and Agencies
If you’re reading this you already have a successful 6-figure service business.
But you also likely have a 60+ hour work week and a lack of systems and organisation.
You sometimes spend hours finding the right information to put into an email to send out to a client.
And you know you need to do more marketing and development projects… but you just don’t have the time and usually end up putting together something at the last minute in a rushed daze.
You feel overwhelmed, frustrated, burn out and just need a break from it all.
It’s OK, there’s a way out of this.
When you systemise your business, everything changes.
Imagine if you had one, simple, straightforward way to just track everything your team does.
Imagine if you didn’t have to put out fires in your business all day — but that things just worked.
Imagine having your clients well-cared for, and your business running smoothly with or without you.
Instead of having files, papers, tasks, to dos and things to remember stored everywhere — imagine if you could have them neatly organised in Asana and know exactly where to find them when you need to.
And more than that, imagine being able to use Asana without the technology slowing you down — being able to spend less time doing “work about work”, and more time actually getting things done.
This means no more scrambling to figure out what you have to do (or what you forgot to do).
You may have tried different things in the past. It could have been:
- Different apps.
- “Project templates” that don’t really fit what your business does.
- Learning on YouTube, and finding that videos only addressed one part of your business, but not whole thing.
Or maybe you’ve tried hiring someone before.
Asana consultants are great, but they’re expensive and slow. A custom Asana setup runs $4,000+ and takes 2 months to complete.
(I know, this is what I used to do.)
You may have tried handing your Asana over to your VA or OBM… only to realise that it’s above their pay grade.
Team members are great at maintaining systems, but not as much at creating them.
But Asana doesn’t have to be complicated… if you set it up the right way and follow a few simple rules.
And the best thing?
It shouldn’t take more than a day to get it set up that way.
Introducing Asana VIP Days
That’s exactly why I created Asana VIP Days for coaches, consultants and agencies.
Once set up, your custom Asana build is designed to save you and your team hours of work every single week, so that you have more time for your clients, your vision, or even some time off.
In one day we will:
- Take your existing Asana setup, keeping the best things and improving upon the rest.
- Figure out exactly what the best Asana setup is for your business, systems and workflow.
- Create that inside of Asana for you.
- Then deliver custom training on your new setup and how to use it.
- You don’t have to wait 2+ months for a “consulting project” or your VA or OBM to figure it out.
- You don’t have to spend hours and hours watching YouTube tutorials on your own, trying to see how short Asana tricks apply to your business.
- You don’t have to send hundreds of emails, Slack messages or DMs to your VA or consultant in a never-ending back-and-forth of communication to explain exactly what you want to happen in Asana.
- You’ll be able to benefit from an optimised Asana immediately after your VIP Day together.
The Asana VIP Day Process
Here’s how the Asana VIP Day process works.
Because I can only conduct a limited number of VIP Days a month, I ask all clients to fill in a short, easy application form so that I can get to know their business better.
A couple of weeks before the VIP Day I will send you some preparation work to fill out. This is has been carefully designed to help gather everything we will need to assemble your Asana setup.
3. Get Things Started!
On the VIP Day we’ll get things rolling with an Alignment call and then go from there.
Here’s Exactly What We’ll Be Doing On Your Asana VIP Day
The 4A Framework for Asana VIP Days is designed to take a new or existing Asana setup from disorganised, messy and chaotic to clean, accessible and streamlined.
Here’s how it works.
Based on your pre-work information, we’ll look at all your current processes and Asana usage.
I’ll then go through and Assess and design the perfect Asana setup for you and your team.
The day before the VIP Day, we’ll hop on a short kick-off call called Align. This is where we’ll go through all the changes to be made to your Asana, so that you can provide additional input and see exactly what will be done to your existing setup.
If you’re in the US, this will be in the morning your time and you will be able to go about the rest of your day on your existing Asana!
In the wee hours of the morning of our Asana VIP Day, I’ll assemble your new Asana for you.
This means reorganising projects, teams, templates, fields and more.
I’ll also develop the custom documentation and training that your team will need to continue succeeding with Asana going forward.
We’ll finish up with tailored training for the team during the Activate phase.
And then you’ll be able to start using your new Asana right away!
You’ll also have access to 14 days of support via Slack after our VIP Day is complete.
Why Work With Me?
Systems and operations is kind of my thing.
I completed my formal education at UNSW, which is the top business school in Australia. I specialised in business information systems.
I’ve re-engineered processes and done systems analysis and design for corporate telecommunications, finance and manufacturing companies.
I’ve taught business systems and productivity to entrepreneurs and professionals for the past 15 years.
I’ve also been a consultant, agency owner and COO and understand the pains of running a business. Whether it’s trying to get 30+ staff on the same page, setting up project management systems from scratch or lying in bed at night wondering what the point of it all is, I’ve been there.
To be honest, most people find systems, processes and operations boring. They see them as rigid, bland and a grind. But luckily for you, I LOVE systems, processes and operations.
I’ve used Asana for a number of years, starting with the first version released in 2008. It is by far the best project management system on the market and continues to lead the pack as far as I’m concerned.
“I run an online advertising company and we are constantly revamping our processes and exploring new tools etc. Aaron was extremely helpful and is one of the best people we’ve come across for process automation and overall efficiency. I can’t recommend him enough.”

“For those of you who are wanting some advice for your business to take it forward, Aaron is definitely the person to go to. He is very knowledgeable in a lot of areas including systems and processes and he gave me many amazing ideas that are readily implementable. I’ve been able to take action straight away which I’m very excited about. Aaron is very well-prepared. He’s thorough, but to the point and is really amazing at both blue-sky strategy as well as detailed implementation. I’ve worked with other consultants in the past but this was by far the most useful and practical.”

Frequently Asked Questions
1. Is this only for businesses already using Asana?
If you’re new to Asana, I’ll help you get set up the right way from the start and you’ll never run into any of the problems that most people do using Asana.
The process will be slightly different as we will focus on moving tasks and projects in and setting them up rather than assessing and assembling what’s already in there.
And of course if you’re already in Asana, we’ll work with what you already have and layer best practices on top while removing the no-gos from your existing setup
2. Can’t I just do this myself?
If you’re reading this you’ve likely tried doing it yourself already, and everything you have done has led to you to the results you have now.
Doing the same thing again isn’t going to make a difference — you need a new perspective and fresh set of eyes.
3. I don’t need help with all of my Asana, just this one specific part.
I’ve worked with systems and setups for over 15 years and every time an implementation has failed, it’s because someone skipped a step.
Every project of this type has some variation to these 4 parts to it:
- Alignment to check in.
- Doing part in assembly
- Handover in activation.
You cannot skip these steps or work on just one part of Asana and expect everything to change — you need all parts.
4. Can we REALLY do this in ONE day?
The intensive VIP Day format is made possible through careful planning, years of experience in delivering projects and knowing exactly what can and can’t be done with Asana.
The reason I’m able to deliver everything in one day is because systems are my thing. You’ve probably figured out that I’m obsessed with systems, productivity and making things work better and faster — that’s my zone of genius.
When it comes to your industry and what you do for your clients I’d say probably not, but systems and business tech is something I can absolutely do.
(Note: If you are a larger business with 10+ clients or 12+ team members, we may opt for an Asana VIP Weekend as there is usually more implementation work required.)
5. How much does an Asana VIP Day cost?
Asana VIP Days start at $3,000.
For reference, traditional consulting projects start at $5,000+.
